    Generator Rental Logistics, Return & Refund Policy

    1. Return & Off-Hire Timelines

    Renters must return equipment or schedule its collection by the precise date and time locked into the rental

    contract. To successfully complete a rental cycle, the following parameters apply:

    • Off-Hire Notification: For units designated for pickup, the renter must formally log an "Off-Hire Request" via

    phone or email. Rental fees accumulate continuously until this official confirmation timestamp is generated.

    • Grace Period & Late Returns: A strict 1-hour grace period is extended beyond the contractual end time.

    Units returned or marked off-hire late face a tiered penalty structure, moving rapidly into an unapproved

    multi-day extension fee rate.

    2. Drop-Off & Pickup Logistics

    Northwind Events offers comprehensive distance-based logistics fulfillment to maintain operational integrity and

    on-schedule event timelines.

    • Distance-Based Transport: Delivery and extraction service pricing is computed strictly via round-trip

    mileage mapped directly from the central Northwind Events depot to the specified drop site.

    • Site Preparedness: The renter is legally responsible for clearing safe, solid ground access for transport

    vehicles. If transport crews face on-site obstructions or structural delays exceeding 20 minutes, a mandatory

    standby fee applies.

    • Isolation Mandate: Prior to a scheduled pickup window, the renter must thoroughly isolate the generator

    from all external electrical distribution blocks and structural building loads. Logistics teams will not dismantle

    external distribution infrastructure.

    3. Cancellation & Modification Windows

    Scheduling modifications or complete cancellations of generator rentals and associated logistics demands

    significant lead time to re-route capital hardware.

    • 48-Hour Constraint: Any structural modification, site relocation, or complete event cancellation must be filed

    at least 48 hours prior to the locked delivery/return window.

    • Late Windows: Adjustments submitted inside the 48-hour boundary trigger a late modification penalty

    totaling 50% of the calculated transport rate alongside standard cancellation penalties.

    4. Refund & Cancellation Terms

    Refund eligibility is heavily contingent upon the timing of the cancellation request relative to the scheduled

    deployment schedule:

    • Timely Cancellations (48+ Hours Notice): Cancellations submitted with more than 48 hours notice prior to

    the delivery window qualify for a full refund of the rental fee, less a 10% administrative processing fee.

    Logistics/transport fees are refunded in full.

    • Late Cancellations (Within 48 Hours): Cancellations filed inside the 48-hour window forfeit the 100% rental

    down payment. The distance-based transport fee will be fully refunded if the team has not departed the

    depot.

    • On-Site Refusal / Non-Compliance: If a delivery is aborted on-site due to inadequate space, structural

    weight limitations, safety violations, or lack of site access, no refund will be issued for either the rental or the

    transport fees.

    • Technical Failures: In the highly improbable event of a mechanical or electrical failure of a Northwind

    Events generator during operation, a pro-rated refund will be immediately calculated based on documented

    downtime, provided the failure was not induced by operator negligence, fuel contamination, or structural

    overloading.

    5. Equipment Condition & Multi-Stage Inspection

    Financial liability for physical damage remains fixed to the renter until the machinery is formally cleared by a

    certified Northwind Events mechanic.

    • Refueling Mandate: Machinery must return fully fueled with premium diesel matching the status at dispatch.

    Fuel deficiencies incur a markup cost alongside a processing penalty.

    • Two-Stage Technical Sign-Off: A preliminary check is performed on-site during hand-off. The binding,

    comprehensive structural evaluation takes place at the Northwind Events depot within 48 hours of asset

    retrieval.
